Scope
The goal of this project is to propose a secure and centralized personnel management database software for Ghana Force Headquarters. Currently, there is no unified system for storing and referencing personnel records, which creates challenges in data accessibility and efficiency. This concept aims to consolidate personnel data, automate key reminders, and provide secure, role-based access for administrators and service members.
Process
I analyzed the existing gaps and collaborated with key stakeholders (CAS, CSO, HR, IT) to outline the software requirements. I designed the system architecture to support multi-user access, role-based permissions, and secure mobile OTP login. The concept includes automated notifications for medicals, training, promotions, and birthdays, along with a clear, intuitive interface for efficient use. A phased implementation plan—covering design, development, testing, deployment, and training—was developed to ensure a smooth rollout.
Proposed Impact
If approved and implemented, this platform is expected to:
Improve personnel record retrieval speed by 65%
Reduce administrative errors by 50%
Increase operational efficiency by 70% through automated reminders and streamlined workflows
Strengthen data security and accountability via audit logs and role-based permissions
This concept offers a future-ready solution designed to transform personnel record management at Ghana Force Headquarters.
